Checklist templates let you build a reusable list of steps once, then attach a copy of it to a property (or a contract) so your team can track progress on that specific deal. You can also create a standalone checklist that isn't tied to any property.
Build reusable checklist templates with ordered items
Attach a template to a property when it's created or edited, or to a new contract, or directly from the property's detail page
Remove a checklist that's attached to a property so a different template can be attached in its place
Assign a default person to each item, or override the assignee per property when attaching
Attach an email template to an item so the assignee can send a pre-filled email in one click
Comment on individual checklist items and @mention teammates
Track progress across every property checklist in your business from one dashboard
Create standalone checklists that aren't tied to a property
Navigate to the Team section in the left-hand menu and click Tasks.
Use the Tasks / Templates / Property Checklists toggle to switch views.
From the Tasks page, open the Create New dropdown and choose Create New Template.
Enter a Title and optional Description.
Add one or more items, each with a title and optional notes. For each item you can optionally set:
A default assignee: whoever is chosen becomes the item's assignee whenever the template is copied to a property, unless someone picks a different assignee at attach time.
An email template: attaches a pre-written email so the assignee can send it directly from the item (see Sending email from a checklist item below).
Choose a sharing mode:
Shared with whole team: everyone in your business can view and use the template.
Shared with specific people: only the people you select (plus you) can view and use it.
Private: only you can view and use it.
Click Save.
Note: Editing a template only affects the template itself. Properties that already have a copy of the checklist are not changed retroactively.
When creating or editing a property, or creating a new contract, look for the Add Template option:
Click Add Template to open the template picker.
Select a template from the list, or click Create New Template to build one on the spot.
If the template has items, you'll be prompted to optionally assign a specific teammate to each item for this property (this overrides the item's default assignee). You can skip this step and assign people later.
Save the property or contract. A copy of the template, including its items, is created and linked to that property.
Note: If you attach a template from the property's detail page (rather than the create/edit form), items keep
Note: If you attach a template from the property's detail page without assigning anyone, each item's default assignee from the template is used automatically. Assignments you set explicitly during attach always take priority over the template's defaults.
Note: A property can only have one checklist attached. The picker is replaced by a notice showing the attached checklist's name instead of letting you pick a new one. Remove the existing checklist from the property's detail page first if you want to attach a different template.
Open the property's detail page and go to the Tasks tab.
Click Remove checklist next to the checklist's title.
Confirm the removal. This permanently deletes the checklist, its items, and any comments on those items. This can't be undone.
Once removed, the property has no checklist attached, and you can attach a different template right from the same tab (or from the property/contract edit modal).
Note: Removing a checklist is a permanent delete, not an archive. If you attached a template by mistake, use this to remove it and pick the correct one.
Open the property's detail page and go to the Tasks tab to see its checklist.
Click an item's checkbox to mark it complete or incomplete.
Reassign an item to a different teammate at any time.
Click an item to open its detail panel, where you can view notes, leave comments, and (if an email template is attached) send the email.
If the property has no checklist yet, you can attach one right from this tab: choose a template from the dropdown and click Attach.
Note: Any teammate in your business can view and work the items on a property's checklist (toggle, edit, add items, comment, send item emails), since it's already visible to the whole team on the property page. Renaming the checklist, changing its sharing settings, or deleting it is still limited to the checklist's creator, someone it's explicitly shared with, someone assigned to one of its items, or the property's agent or co-agent.
Note: Any member of your business can toggle, edit, and add items (and comment) on a property's checklist, since it's already visible to the whole team on the property page. Renaming the checklist, changing its sharing settings, or deleting it is still limited to the checklist's creator, someone it's shared with, someone assigned an item on it, or the property's agent/co-agent.
If an item has an email template attached:
Open the item and click Send email.
MyOps resolves the subject and body from the attached email template, filling in details like the client name, property address, and agent name.
Your own email client opens with the message pre-filled, addressed to the property's client email (if one is on file).
Note: If the property has no client email on file, you'll be prompted to add one before the draft can be sent, so the message isn't accidentally sent with a blank recipient.
Open an item's detail panel and use the Comments section to communicate about that specific step.
Type @ to tag a teammate; they'll be notified even if the checklist is private.
The checklist's creator and the item's assignee are notified of new comments (the assignee is skipped on private checklists).
You can delete your own comments. Owners, Super Admins, and Admins can delete any comment.
The Property Checklists view on the Tasks page lists every property in your business that has a checklist attached, team-wide. It's not filtered down to:: checklists you created or were assigned to: since any team member can already see and work a it's shared with specific peit's shared with specific peprople and you'ple and you'pereetone of them, or one of them, or y's checklist from that property's page, the tab shows all of them so nothing is missing from the dashboard that's visible elsewhere. Each row shows:
The property address
The source template (if any)
Progress, as "x of y complete"
When the checklist was last updated
Standalone checklists (not tied to a property) still follow sharing rules: they only appear in the Templates/Checklists view for people they were created by, shared with, or shared team-wide.
Not every checklist needs to be tied to a property. From the Create New dropdown, choose Create New Checklist to build a standalone checklist with its own items, sharing settings, and comments, listed under the Templates/Checklists view separate from property checklists. Standalone checklists keep the same access rule for everything: only the creator, someone it's shared with, or an assigned teammate can view or work it. Standalone checklists keep the full sharing rules: only the creator, people it's shared with, or an assignee on an item can open and work them.
