The Active Listings View is your primary workspace for managing current property listings. This table-based view shows all active listings at a glance and lets you search, sort, and act on your properties. It loads by default when you open the Listings page.
Property Address: Agent profile photo thumbnail, complete street address, city/state/ZIP, and country if applicable. Sort alphabetically by clicking the column header; use it to verify listing locations.
Agent: Full name of the agent assigned to the listing. Sort by agent to group listings by team member and track distribution across the team.
Expiration Date: The date the listing agreement expires (MM/DD/YYYY). Sort by date to prioritize renewals and spot soon-to-expire listings.
Lead Source: Where the client or listing originated. Sort to group listings by source, and analyze which sources generate the most listings.
Action: Two icon buttons per listing:
Repeat Client, Sphere of Influence, Client Referral, Cold Calling, Open House Lead, Website Lead, Social Media, and Spears Group Leads.
Best practice: Review expiration dates weekly, contact clients about 30 days before expiration, prepare renewal documents in advance, and update status promptly once a listing expires.
Search is case-insensitive and works with partial addresses.
Tip: Use a street name only for broad results, add the city for specific matches, try a ZIP code for area-based searching, or use the property number for an exact match.
A sort indicator appears on the active column, and only one column is sorted at a time. Sortable columns: Property Address, Agent, Expiration Date, and Lead Source.
The Previous and Next buttons disable on the first and last pages respectively. Your sorting and search persist across pages.
Listings not appearing in the table: Confirm you're on Active Listings (not Archived/Cancelled), clear any active search, check pagination, and verify listings weren't accidentally archived. Refresh if needed.
Search not working: Try different or exact-format search terms, remove special characters, then refresh. If it persists, clear your browser cache.
Cannot edit a listing: Confirm you clicked the pencil (not arrow) icon and that you have edit permissions. The listing may be locked by another user. Refresh and try again; contact your admin if it's a permissions issue.
Sort not working: Clear any active filters, click the column header again, and refresh. Clear your browser cache or check browser compatibility if it continues.
Photos not loading: Verify images were uploaded to the listing, check your internet connection, then refresh. Clear cache or try another browser if needed.
Pagination buttons disabled: "Previous" is disabled on page 1 and "Next" on the last page (both expected). If both are disabled, you have a single page of results.
How many listings appear per page?: The default is typically 10, but this may vary based on your system settings.
Can I change how many listings show per page?: Check for a "Rows per page" dropdown (usually in the Archived view). If it isn't available in the Active view, ask your admin to enable it.
What happens when a listing expires?: It automatically moves to the Archived/Cancelled section under the "Expired Listings" tab.
Can I bulk edit multiple listings?: Check for bulk-action checkboxes, or contact support. This feature may need to be enabled.
How do I delete a listing?: Use the edit (pencil) function and look for a delete or archive option in the listing details, or contact your admin.
Can I export the listings table?: Look for an export button near the top of the page. If it isn't there, contact support about export functionality.
Why do some listings have photos and others don't?: Photos must be uploaded during listing creation or added via edit. Missing photos mean none have been uploaded yet.
Can I customize which columns appear?: Column customization depends on your system configuration. Contact your admin about custom column views.
How often does the table refresh?: It typically shows real-time data. Refresh your browser to ensure you're seeing the latest information.
Can I see historical listings that have sold?: Sold listings may be in the Archived section. Check the "Archived Listings" tab in the Archived/Cancelled view.
What if two agents are listed on one property?: The Agent column typically shows the primary assigned agent. Co-listing information may appear in the full listing details.
How do I know which listings are expiring soon?: Sort by Expiration Date ascending (earliest first).
