Managing a listing in MyOps covers four actions: viewing full details, editing information, canceling a listing when an agreement is withdrawn, and deleting a listing when truly necessary. This guide covers each action button and workflow.
View full listing details (read-only)

Open the Listings page and find the listing you want to manage.
Use the Action column buttons: the arrow icon views details; the pencil icon edits the listing.
Additional actions (cancel, delete) are available within the listing details.
Review changes before saving, and confirm destructive actions.
Access complete listing information in read-only mode to review everything without making changes.
How to access: Find the listing in the Active Listings table, then click the arrow icon (→) in the Action column (far right). The details page or modal opens read-only.
What you'll see:
Property Information: Complete address, property type and style, bedrooms and bathrooms, square footage, lot size, year built, and property features.
Listing Details: Listing number/ID, listing agent, start date, expiration date, status, price, and lead source.
Client Information: Client name, contact information, email, phone, and preferred contact method.
Photos and Media: All uploaded property photos, the primary listing image, additional images, and virtual tour links (if added).
Additional Information: Property description, special notes, internal agent notes, transaction history, and status change log.
To navigate, scroll through all sections (or use tabs if present), view photos in gallery format, and click the back button or X to return to the listings table.
Tip: Use View mode to review a listing before a client call, check property details quickly, verify accuracy, share information with team members, or confirm listing status.
Modify any listing information after creation to keep details current and accurate.
How to access: Find the listing, then click the pencil icon (✎) in the Action column. The edit form opens with current data and all fields become editable.
What you can edit:
Property details: Address (if allowed), property type, bedrooms and bathrooms, square footage, lot size, year built, and property features.
Listing information: Price (for price changes), start and expiration dates, status (if not automatic), agent assignment, lead source, and commission structure.
Client information: Name, contact details, email, phone, and communication preferences.
Photos and media: Add or remove photos, reorder the sequence, change the primary photo, and add virtual tour links.
Descriptions and notes: Property description, public listing notes, private agent notes, and special instructions.
Checklist template: In the Property Details section, click Add Template to attach a checklist template to the property, or click the template name to change it. A copy of the template is linked to the property when you save. See Checklist Templates & Property Checklists for details.
Click the pencil icon to open the editor.
Click into the field you want to change and make your edits.
Move through the other fields and sections.
Review all changes before saving.
Click Save or Update Listing.
A confirmation message appears and the table updates.
Best practices for editing: Verify changes are authorized (confirm with the client if needed) and double-check numerical values. Keep related fields consistent, for example update notes when the price changes and inform the client when dates change. Document why significant changes were made, save after each major section to avoid losing work, and review all modified fields before the final save.
Mark a listing as cancelled when the agreement is withdrawn, terminated early, or the client decides not to sell.
When to cancel: The client withdraws the property, the agreement is terminated by mutual consent, the client lists with another agent, the property circumstances change (e.g., foreclosure), or the client decides not to sell.
From edit mode: Click the pencil icon, change the "Status" field to "Cancelled," add a cancellation reason in notes, and save. The listing moves to the Cancelled tab.
From listing details: Click the arrow icon to view details, click the "Cancel Listing" button, then in the confirmation dialog select a cancellation reason (if prompted), add optional notes, and click "Confirm" or "Cancel Listing."
From the status change menu: Open the listing or its dropdown menu, select "Change Status," choose "Cancelled," follow the prompts, and confirm.
Information to record:
Cancellation date: When the agreement was terminated (the system may auto-record this).
Cancellation reason: Withdrawn by client, listed with another agent, property sold by owner, client changed mind, property circumstances changed, or other (with notes).
Additional notes: Details about the cancellation, client feedback, relationship status, and future opportunities.
After canceling: The listing is removed from Active Listings and appears under the "Cancelled Listings" tab in the Archived/Cancelled section. It remains viewable for reference, can be found via search, and keeps a historical record.
Best practice: Always document the reason, communicate with the client before canceling, record any feedback, note whether the relationship continues, flag potential future opportunities, and maintain a professional relationship.
Permanently remove a listing that was created in error or is truly no longer needed.
⚠️ Warning: Deleting is usually PERMANENT and CANNOT be undone. Use cancellation instead of deletion in most cases.
When to delete (rare): A duplicate created by mistake, a test listing from training, a listing created for the wrong property, erroneous data entry, or an administrative correction.
When NOT to delete: A listing whose agreement expired (use Expired status), a client-cancelled agreement (use Cancel), a sold property (mark as sold or archive), a listing you just want out of the active view (archive instead), or any situation where you might need the record later.
Find the listing and click the pencil icon to edit, or the arrow icon to view.
Locate the "Delete" option. It may be labeled "Delete Listing" or "Remove," is often red, and may sit under a "More Options" or "..." menu.
Click "Delete." A confirmation dialog warns about permanence and may require typing a confirmation phrase or selecting a reason.
Read the warning carefully, then click "Confirm Delete" (or similar). The listing is immediately and permanently removed.
Alternatives to deleting:
Cancel instead: Preserves the record, moves it to the Cancelled tab, keeps it searchable, and lets you document the reason.
Archive instead: Keeps all information, removes it from the active view, maintains history, and is reversible.
Mark as inactive: Changes status only, doesn't remove data, can be reactivated, and preserves the record.
After deletion: The listing is completely removed from the system: it appears in no tab or view, can't be searched or found, has no record in reports, generally can't be recovered, and may affect historical data and reports.
View (→): Opens the read-only detail page. Use it to review information. (Viewing only.)
Edit (✎): Opens the edit form. Use it to update information. Reversible (you can cancel edits).
Cancel Listing: Marks the listing cancelled and moves it to the Cancelled tab. Use it when an agreement is withdrawn. Potentially reversible (check with admin).
Delete Listing: Permanently removes the listing. Use it only when created in error (rare). Not reversible.
Can't view listing details: Check your internet connection and that you have view permissions, then refresh. Clear cache or try another browser; contact support if it continues.
Edit button not working: Confirm you have edit permissions and that the listing isn't locked by another user. Refresh and try again, clear cache or try another browser, and contact your admin about permissions.
Changes won't save: Confirm all required fields are completed and look for error messages. Verify data formats and your internet connection, then try again. Copy your changes and refresh if needed.
Can't find the cancel or delete option: It may require specific permissions or be restricted for your role. Look under a "More Options" or "..." menu and check within edit mode. Contact your admin about access.
Accidentally cancelled a listing: Contact your admin immediately. You may be able to restore it or change the status back; otherwise you may need to recreate it.
Accidentally deleted a listing: Contact your admin immediately and provide the details you remember. There may be backup/recovery options, but be prepared to recreate it from scratch.
Can I undo an edit after saving?: Changes are typically immediate. Edit again to revert. Some systems have change history to reference previous values.
Who can see when I edit a listing?: Changes are typically logged. Team leaders and admins may see edit history. Check your system's audit trail.
Can I edit multiple listings at once?: Typically you edit one at a time. Check with support about bulk editing.
How do I know if my changes saved successfully?: Look for a confirmation message (toast or dialog). Changes should also reflect immediately in the table.
What happens to cancelled listings long-term?: They remain in the Cancelled tab indefinitely unless deleted or archived by an admin.
Can a cancelled listing be reactivated?: This depends on system configuration. You may need admin help or to create a new listing.
Do I need approval to cancel a listing?: This depends on your brokerage policies; permissions vary by role.
Can I see who cancelled a listing?: Check the listing's change history or audit log if your system provides it.
What if I need to cancel a listing but keep all the data?: Use the cancel function (don't delete). It preserves all information while marking the listing cancelled.
Is there a difference between deleting and archiving?: Yes. Archiving preserves the record but removes it from the active view. Deleting permanently removes the listing.
Can I recover a deleted listing?: Usually no. Deletion is permanent. Contact your admin immediately if you need recovery assistance.
Can I edit an expired listing?: You may be able to edit it from the Expired tab, or use the Relist function to create an editable copy.
Can I attach a checklist template to a listing that already has one?: A property can only have one checklist attached. If you select a new template while one is already attached, the existing checklist is left unchanged.
