The Archived/Cancelled Contracts view is where you manage contracts that are no longer active. It splits them into two tabs: Archived (successfully closed) and Cancelled (fell through before closing), so you can keep historical records and track transaction outcomes.
Stores successfully closed contracts for historical reference and reporting. Each row shows the contract ID and representation type, the full property address, the under contract date, the closing date (when the transaction closed), the agent name, the lead source, and a View button.
Contracts appear here when: the agent marks the contract as closed/completed, the transaction reaches closing, all paperwork is finalized, funds have transferred, and ownership has changed hands.
How to use archived contracts:
Tracks contracts that were terminated before closing, for pattern analysis and learning. Each row shows the contract ID and representation type, the property address, the under contract date, the closing date (projected before cancellation), the agent, the lead source, and a View button.
Contracts appear here when a deal falls through, including:
How to use cancelled contracts:
Tip: If you can't find a contract, switch tabs, try a partial address or street name only, check your spelling, and try different address formats (abbreviations vs. full names).
What you can see: complete property information; all dates (listed, under contract, closed); commission details and splits; client information; the transaction timeline; notes and communications; and any attached documents.
Key dates to review:
Metrics to track: average days to close, fall-through rate, cancellation reasons, closing rate by lead source, and seasonal patterns (when contracts close vs. cancel).
Use the Rows per page dropdown to select how many contracts to show (common options: 10, 25, 50, 100). More rows means less pagination; fewer rows means faster loading. The setting applies to the current tab only.
Click Back to Contracts at the top right to return to the main Active Contracts view. Your search and sort settings reset and the last page position is lost. The browser back button is an alternative.
Can't find a contract you know closed: check both tabs (Archived and Cancelled), search by property address, verify the contract actually reached closing and was marked closed, then check with your admin.
Contract is in the wrong tab: verify the actual outcome (closed vs. cancelled), review notes for clarification, and contact your admin to correct the status (it may need a manual update).
View button not responding: refresh, check your internet connection, verify the contract data exists, try another browser, clear the cache, then contact support if it continues.
Search not finding contracts: confirm you're on the correct tab, try partial instead of full addresses, check the other tab, and clear the search to browse manually.
Can't determine why a contract was cancelled: click View to see full details, check the notes section and communication history, contact the agent who handled it, and add notes for future reference.
Rows per page not changing: refresh, try a different number, clear the browser cache, check browser compatibility, then contact support if it persists.
Note: For most display glitches, the quickest fixes are to refresh the page, clear your browser cache, try another browser, and confirm your permissions.
How long do contracts stay in archived? Indefinitely, for historical reference, unless manually deleted by an administrator.
What's the difference between Archived and Cancelled? Archived contracts successfully closed; cancelled contracts fell through before closing and did not complete.
Can I move a contract from Cancelled to Archived? Only if the deal actually closed. Contact your admin if a contract is categorized incorrectly.
Do archived contracts count toward my sales stats? Yes, archived (closed) contracts typically count in sales volume and transaction count. Cancelled contracts do not.
Can I delete archived contracts? Deletion typically requires admin permissions. It's recommended to keep all historical data for reporting and reference.
Can I see commission details in archived contracts? Yes, click View to see complete transaction details, including commission information.
How can I run reports on archived contracts? Check for export/reporting features, or ask your admin about running custom reports on historical data.
Why would I review cancelled contracts? To identify patterns, improve processes, learn from failures, and potentially re-engage clients who fell out of contract.
Can I reactivate a cancelled contract? Typically no. If the deal comes back together, create a new contract.
How do I know if a cancelled client is interested again? Follow up periodically, especially if the circumstances that caused the cancellation have changed.
What if I archived a contract by mistake? Contact your admin to move it back to active or change its status. Have the contract ID ready.
Can I see who closed or cancelled a contract? Check the contract details and change history if available. The assigned agent is typically shown, and system audit logs may have more detail.
